/WonderRoot and Community Farmers Markets Seek Part-time Event Coordinator for Gala
WonderRoot (WR) and Community Farmers Markets (CFM) seek to hire a part time contractor to serve as an Events Coordinator for a shared Gala, “WonderFarm”, to be held in June 2016. WonderFarm is an annual gala event that celebrates and grows culture and community in Atlanta. Community Farmers Markets and WonderRoot work to nurture and promote the arts, activist, food, and farming communities in and around our city. WonderFarm provides an opportunity to highlight the unique and interconnected individuals who make Atlanta beautiful, delicious, and inspiring.
Components of the Gala:
Aims to raise $150,000 + as profit.
350 guests for a unique participatory event that creates a relationship among farmers, artists, chefs, and guests. Will include cocktail hour, exploration of arts spaces, seated dinner, silent auction, and potential after party.
Coordinator Responsibilities:
Work with the Executive Directors, Boards of Trustees and Planning Committee (“The Team”) to plan and implement sustainable strategies for creating a successful event.
Serve as the liaison among and between team, stakeholders, vendors, and guests.
Coordinate and schedule meetings. Work with team to set agendas for meetings.
Work with team to create tracking system and timeline (in Basecamp) for all event logistics.
Delegate, assign, and track tasks with team.
Ensure that team adheres to all milestones through clear and consistent communication.
Work with team to track Host Committee members and activities. Liaise with EDs for timely communications with Host Committee.
Liaise and confirm all details with participants including artists, musicians, farmers, chefs, mixologists, designers, AV, event rentals and other vendors.
Liaise with the Chef Curator to help mitigate communications with Chefs.
Manage sponsorships and RSVP lists and timeline for communications to these groups.
Work with team to create Run of Show for the event (including but not limited to all logistics, contact information, timing, VIP profiles, RSVP lists, auction, etc..)
Oversee auction set-up and bidding day of event.
Confirm all event logistics in a timely manner before event.
Manage and be present for day of event to coordinate logistics and problem solve.

Extremely organized and detail oriented.
Strong leadership skills and ability to manage diverse groups of people.
Strong written and verbal communication skills.
Ability to work independently while keeping a team on task.
Strong interpersonal skills.
Ability to multi-task.
Adept at problem solving.
